A successful file conversion depends on more than pressing a button. The structure of the source file, the properties of the target format and where you will use the output all matter. This guide collects the practical decisions we encounter while building and testing ToolNova with real files.
How do you tell a text PDF from a scanned PDF?
If you can select and copy a word inside the PDF, the document probably has a real text layer. For this kind of file, a direct converter such as PDF to Word is usually the better starting point for preserving text and basic document structure.
If each page behaves like one large photograph, the document may be scanned. It needs OCR first. OCR estimates characters from pixels and creates new text; it cannot guarantee a perfect reconstruction of handwriting, complex tables or multi-column layouts.
- If text is selectable, try direct conversion first.
- If text is not selectable, use the OCR PDF tool.
- Always verify names, dates, amounts and language-specific characters in OCR output.
Choosing between JPG, PNG, WebP, HEIC and RAW
JPG offers broad compatibility and compact files for photographs, but it uses lossy compression and does not support transparency. PNG is a better fit for screenshots, interfaces, logos and images that need a transparent background. WebP often provides a useful balance between visual quality and transfer size on websites.
HEIC is storage-efficient on modern phones but is not accepted by every application, so JPG can be a practical sharing format. RAW preserves more camera source data. Converting RAW to JPG creates a shareable copy, but it does not carry all professional editing flexibility into the JPG.

Checklist before converting an Office document to PDF
Word, Excel and PowerPoint files can change across computers because of fonts, page size or print-area settings. Checking print preview in the source application before conversion reduces unexpected page overflow.
In Excel, set a print area around the cells you actually need and consider landscape orientation for wide tables. In PowerPoint, check overflowing text boxes and missing custom fonts. In Word, review section breaks, headers and footers. After conversion, verify the PDF page count and open its first and last pages.

- Check the Excel print area and scaling settings.
- Review page count and visual layout before sharing the generated PDF.
Format, container and quality in video and audio
Names such as MP4 and WebM usually describe a container; the codecs used for picture and sound matter as well. Simply renaming a file extension is not a real conversion. ToolNova media tools use FFmpeg-based processing when conversion is required.
Converting a low-quality source to a higher bitrate cannot restore missing detail and may only create a larger file. When extracting MP3 from video, the result is limited by the quality of the original audio track. A safer workflow keeps the source file for archiving and creates a separate, smaller copy for sharing.

Practical ways to improve image OCR accuracy
Readability, orientation, contrast and language selection have the greatest effect on OCR results. Photograph a document as straight-on as possible and reduce perspective distortion and hard shadows. Cropping to the required text keeps the OCR engine from analyzing irrelevant background objects.
Upscaling tiny interface text can help with PNG screenshots. For photographed JPG documents, focus and even lighting matter more than the extension. Use combined recognition for mixed Turkish and English text. A DOCX output provides editable text; it does not recreate the exact typography and visual layout of the source page.
- Rotate the image correctly and crop it to the text area.
- Choose the OCR language that matches the document.
- Manually verify numbers, punctuation and proper names in the result.
